Privacy Policy

This policy explains what personal information Nildola Hideaway collects when you use this website, why we collect it, and the choices you have. We are a small family-run guesthouse at Nildola Estate, Bulathsinhala, and we keep this simple.

What we collect

• Booking and ATV requests: your name, email address, phone number, the dates and number of guests, your choices, and any message you write.
• Enquiries sent through the contact form: your name, email, phone (if you give it) and your message.
• Payments are made by bank transfer, so we never see or store card details through this website. We record what was paid and when, so we can match payments and refunds to bookings.
• When you tick the box to accept our terms, we record the time and which version of the terms you accepted.

Why we use it

• To answer your request, confirm or decline it, and arrange your stay or ride.
• To send you emails about your booking: confirmation, payment details and receipts, reminders, and cancellations or refunds.
• To keep the records we need for accounting and legal reasons, and to keep guests and the estate safe.
• We do not use your details for advertising and we do not sell them.

Who can see it

• Only the owners and the people who help us run the estate.
• Our email service, which delivers the emails we send you.
• Authorities, where the law requires it.

Cookies and similar technology

• This website only uses what it needs to work: a security cookie that protects forms from forgery, a session cookie that lets the thank-you page remember your last request, and a setting on your device that remembers whether you chose light or dark mode.
• We do not use advertising or tracking cookies.
• The map loads map pictures and route lines from OpenStreetMap, Esri and OSRM. When you open the map, your browser contacts those services, and they can see your internet address. Please read their own privacy notices if this matters to you.

How long we keep it

We keep booking records for as long as we need them for our accounts and legal obligations, and enquiries for as long as they are useful to answer you. After that we delete them or remove your personal details.

Your choices

• You can ask us what we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it.
• You can ask us to stop emailing you, other than messages about a booking you have made.

Changes to this policy

If we change this policy we will update this page and the date at the top. We aim to handle personal data in line with the data protection law of Sri Lanka.
